Exhibitor Guidelines & Registration

The cost to exhibit is $250 unless you are a meeting sponsor.  Tabletops for sponsors are complimentary.

Please note: This hotel has special shipping requirements for exhibitors so please read details listed below thoroughly.

Exhibit Guidelines
  • Tabletop displays only (table area is 6’ x 30”). All products and table display must fit within these parameters
  • Tables will be located in Salon A where the breakfast and breaks will be held and must be unmanned while the educational sessions are in progress.
  • Displays must be set by 4:30 p.m. on Sunday, Feb 18, 2024 and dismantled by Noon on Wednesday, Feb. 21, 2024. The room, Salon A will be available for set-up on Sunday, Feb. 18, 2024 at 2 p.m. SWR Institute will not be providing security, but the room will be locked when not in use. 
Packages should not be delivered more than (3) business days prior to the event or check-in date.
All packages, boxes, materials received or shipped by the hotel will be assessed a handling fee, per item, that will be billed to the client master account or associated guest’s guestroom folio.  
  • $5.00 per package 
  • $25.00 per case, crate, or trunk 
  • $75.00 per pallet up to 200lbs, $100.00 per pallet over 200lbs 
  • Price to be determined for any materials over 350lbs

By address the packages as above it will ensure that I am notified by the receiving / operations team so I can ensure that the packages are handeled appropriately.
Inbound packages are priced per item:
  0-5 pounds          $3.00
               Over 5 pounds   $10.00
               Crate or Pallet    $100 each, plus per box charge by weight
