EXHIBITOR INFORMATION
The cost to exhibit is $250 unless you are a meeting sponsor. Tabletops for sponsors are complimentary.
Please note: This hotel has special shipping requirements for exhibitors so please read details listed below thoroughly. Shipping Instructions and package/handling fees.
Any materials being sent to the Resort must be marked as follows:
1. Complete Return Address
2. Hold for Arrival – ATTN: Guest’s Name, Group Name,
3. Number of Boxes (Example: Box 1 of 2)
4. Address as follows:

Package Handling/Delivery Fees
Special arrangements must be made for receiving any equipment, goods, displays or other materials, which will be sent, delivered or brought into the Resort. (This excludes delivery of any food or beverage items that are also sold or furnished by the Resort. The Resort will not accept delivery of such items.) Failure to do this may result in deliveries being refused or materials being unavailable when required. The Resort’s receiving entrance is open from 9am to 3pm Monday through Friday. Advance arrangements must be made through the Catering Office for weekend deliveries. Current package handling/delivering fees are as follows:
1-20 lbs: $20.00 per box
21-70 lbs: $30.00 per box
71-100lbs: $40 per box
Case: $60.00
Pallet: $175.00
Forklift Required: $350.00

Exhibit Guidelines
- Tabletop displays only (table area is 6’ x 30”). All products and table display must fit within these parameters
- Tables will be located in Indian Wells IJKL where the continental breakfast and breaks will be held and must be unmanned while the educational sessions are in progress.
- Displays must be set by 4:30 p.m. on Sunday, March 9, 2025 and dismantled by Noon on Wednesday, March 12, 2025. The room will be available for set-up on Sunday, March 9, 2025 at 2 p.m. SWR Institute will not be providing security, but the room will be locked when not in use.
